VenueVation operates https://venuevation.com/v2 (the “Website”), a directory for community halls in Alberta, Canada. Users can sign up to manage listings. We protect your privacy under Canada’s PIPEDA and Alberta’s PIPA. This Privacy Policy explains how we collect, use, share, and protect your personal information.
By using the Website, you consent to this policy. If you do not agree, please do not use the Website.
1. Information We Collect
We collect only what’s needed to run the Website:
- Account Information: Name, email, username, password, optional phone number, and hall details (e.g., name, address, photos) when you sign up to manage a listing.
- Contact Information: Name, email, and message if you contact us.
- Comments: If you leave a comment (if enabled), we collect data from the comment form, your IP address, and browser details to detect spam. An anonymized email hash may be sent to Gravatar to display your profile picture (public if comment is approved). See Automattic’s Privacy Policy.
- Media: If you upload images (e.g., hall photos), avoid including location data (EXIF GPS). Visitors can extract such data from images.
- Usage Data: IP address, browser type, device type, pages visited.
- Cookies: We may use cookies for logins, ads, or analytics (see Section 4).
- Future Payments: When added, third-party processors (e.g., Stripe) may collect payment details. We don’t collect payments now.
2. How We Use Your Information
With your consent, we use your information to:
- Manage accounts and listings.
- Respond to inquiries or comments.
- Improve the Website.
- Show ads via Google AdSense
- Comply with laws.
We won’t use your data for other purposes without your permission.
3. How We Share Your Information
We don’t sell your information. We share it:
- Public Listings: Hall details (e.g., name, address) are public in the directory.
- Service Providers: For hosting, analytics (e.g., Google Analytics), or ads (e.g., Google AdSense). Providers follow Canadian privacy laws.
- Outside Canada: Some providers (e.g., Google) may store data abroad (e.g., U.S.). We ensure PIPEDA/PIPA compliance via contracts.
- Embedded Content: Embedded content (e.g., Google Maps, videos) may collect data as if you visited those sites. See their privacy policies.
- Password Resets: If you request a reset, your IP address is included in the email.
- Legal Needs: If required by law.
- Business Transfers: If VenueVation is sold, data may transfer under this policy.
4. Cookies
We may use cookies (small files on your device):
- Essential Cookies: For logins (last 2 days, or 2 weeks with “Remember Me”) and screen options (last 1 year). A temporary cookie checks if your browser accepts cookies (discarded when you close the browser).
- Comment Cookies: If you comment, cookies may save your name, email, and website for 1 year for convenience.
- Advertising/Analytics Cookies: For ads (Google AdSense) or usage tracking (Google Analytics), if enabled.
Manage cookies via your browser or opt out of ads at Google’s Ad Settings. We’ll ask for consent for non-essential cookies per Canada’s Anti-Spam Legislation (CASL).
5. Data Security
We use encryption and other measures to protect your data. Keep your account details safe and notify us of unauthorized access.
6. How Long We Keep Your Data
- Accounts: Until you delete your account, then minimal data for 7 years (e.g., tax records).
- Listings: Public until removed.
- Comments: Kept indefinitely for moderation, unless you request deletion.
- Usage Data: Up to 26 months, if collected.
7. Your Rights
Under PIPEDA and Alberta PIPA, you can:
- Access, correct, or delete your data (except usernames or data needed for legal reasons).
- Withdraw consent for non-essential uses (e.g., ads).
- Complain to us or the Alberta Information and Privacy Commissioner.

9. Children’s Privacy
